Mostly it means fixing data governance before you deploy. Copilot respects existing permissions, which is exactly why it surfaces years of over-sharing within days. A readiness assessment reviews site and file permissions, sharing links, sensitivity labelling, retention and licensing, and produces a remediation list to complete before the pilot rather than after a complaint.
Rarely, at least at the start. A focused pilot with the roles most likely to benefit, such as heavy document, email and meeting workloads, produces better evidence than a broad rollout, and lets you measure actual usage before committing to organisation-wide licensing.
Microsoft's commercial terms for Microsoft 365 Copilot state that customer data is not used to train the underlying foundation models, and that prompts and responses stay within the service boundary. Because these terms are updated over time, we review the current Microsoft data-protection commitments with you as part of the readiness assessment rather than relying on a general statement.
With a use-case workshop and an honest look at the data. Two or three well-chosen processes, a defined measure of success and a readiness assessment give you a far stronger foundation than a broad AI strategy document that nobody implements.
